Custom Fields (Tags)

Keep your content organized by tagging videos and channels with custom fields. Search, filter, and group your team's content by custom metadata tags.

Introduction

Custom Fields lets your team add flexible, visual metadata to videos and channels — beyond folders.

Managed by team admins, fields can be customized with icons and colors, and the most important metadata shows up as tags right on your workspace tiles. That makes it easy to organize by project, client, campaign, department, language, and more — so your library stays searchable, scannable, and aligned with how your team actually works.


Field Types and Customization

Field Types

Your team can tag videos and channels with as many custom fields as needed. There are three field types to choose from:

  • Free Text: Up to 700 characters. Best for unique IDs, notes, or long descriptors.

  • Single Select: Choose exactly one option from a predefined list. Great for things like Status, Region, or Priority.

  • Multiple Select: Pick multiple options. Useful for tags like "Tutorial," "Internal," or "Advanced."

Visual customization

You can customize each field with an icon and color to make it easier to identify at a glance:

  • Icon: Choose from 99+ icons to represent the field.

  • Color: Pick from 9 colors to visually group fields.

  • Name: Add a descriptive label for clarity


How to Set Up Custom Fields

Accessing Custom Fields Management (Admins Only)

Only team admins can manage custom fields. There are three ways to access Custom Fields Management.

  • From the main workspace

  • From Team Settings

  • From Video/Channel setup

From the main workspace:

  1. In the top-right corner, under Add New, open the Display dropdown menu.

  2. Select Manage within the Custom Fields section.

From team settings:

  1. Click your team's icon in the top-left corner of the workspace.

  2. Select Team Settings from the dropdown menu.

  3. Navigate to Custom Fields in the left-side panel.

From video/channel setup:

  1. Go to the Setup page of your video or channel.

  2. Click the Custom Fields tab in the left sidebar.

  3. In the left-side panel, select Manage to open the Custom Fields Management window.

Creating New Fields

  1. Click the + on the Custom Fields pop-up window.

  1. Configure the field:

    • Name (e.g., "Project ID," "Client")

    • Type: Free Text, Single Select, or Multiple Select

    • Icon & Color: Pick an icon and color to represent the field visually

    • Options (for select fields): Add your predefined choices

    • Allow users to add custom options: Toggle on or off depending on how much flexibility you want


Adding Custom Fields to a Video/Channel

Both admins and users can add and edit tags on a video or channel.

  1. Go to the Setup page of your video or channel.

  2. Click the Custom Fields tab in the left sidebar.

  3. Assign values to the custom fields your team has set up:

    • Free Text: Type your value

    • Single Select: Pick one option from the dropdown

    • Multiple Select: Choose one or more options (they'll appear as pills)


Using Custom Fields within Workspace

  1. Go to a workspace folder (Grid or List view).

  2. Click Display in the top panel.

  3. Under Custom Fields, click the fields you want to show as tags on tiles.

Selected fields appear as colored tags (icon + text) on your video tiles. Your selection sticks across folders and sessions.

Tips

  • Show only your most important fields on tiles to avoid clutter.

  • Admins can click Manage from the Display dropdown to jump straight to Custom Field settings.

  • Tags are display-only for now — they don't filter or hide items just yet.


Best practices and suggested starter fields

Get started

  • Start with 3–5 essential fields (think Client, Project, Status, Region, Content Type).

  • Use descriptive names: “Project ID” beats “ID”, “Client Name” beats “Client”.

  • Use Single Select for controlled values (like Status), Multiple Select for tags (like audiences), and Free Text for unique descriptors.

Managing lists & options

  • Keep select lists manageable. If you've got 50+ possibilities, consider Free Text or regrouping your values.

  • Only let users add their own options when flexibility matters more than consistency (e.g., Project Name).

  • Review and clean your options regularly — archive unused values and merge duplicates.

Tagging workflow

  • Tag content when it's first uploaded or during setup.

  • As your team scales, lean on batch tagging conventions (heads up: bulk tagging is on the roadmap).

  • Document who tags what and when, and audit tags quarterly.


Custom Fields FAQ

Who can create custom fields?

Only Team Admins can create, edit, and delete custom fields.

Who can assign custom field values?

All team members can assign values to videos and channels.

Can I change a field’s type after creation?

No. Field type is locked in once you create it. If you need a different type, create a new field.

What happens if I delete a field?

The field definition is removed from the UI. Existing values are preserved in the database but will no longer display.

Can I rename fields and options?

Yes. Existing values will automatically inherit the new name.

Is there a limit to how many fields I can create?

No hard limit, but for the best experience we recommend keeping it to 10-20 fields

Can I search or filter by Custom Fields today?

Not yet — search/filter support is on the way. For now, Custom Fields are display-only tags on workspace tiles.

Will custom fields appear in reports?

Analytics integration by custom field is planned for a later release.
